How InvoQuill works

One place for the customer, the work and the paperwork.

Start with a customer and the work you are doing. Add photos, travel and costs as you go, then prepare the report or invoice from the same information. You choose what belongs together and what appears in anything you share. The app adapts without forcing every business through the same process.

From the first detail to the final payment

Build a clear history of the work.

Each step uses information you have already saved, so the customer, work and documents do not become separate stories.

01
Customer and site

Save the details you will reuse.

Add the customer and any billing or work addresses, then choose the right address when you create the work or a document.

  • Multiple named addresses
  • Currency and payment terms
02
Quote and plan

Describe the work and price.

Create a quote, estimate or another suitable document. Use saved products and services or add your own lines, then preview the PDF.

  • Reusable catalogue items
  • Discount and tax choices
03
Work and evidence

Record what actually happened.

Keep the relevant notes, photos, mileage and expenses with the project, job, booking, order or delivery as it progresses.

  • Before, During and After photos
  • Travel and job costs
04
Report and invoice

Prepare the paperwork from the work.

Choose what belongs in the job report, prepare the invoice and inspect the complete PDF before you issue a final numbered copy.

  • Evidence you select
  • Numbered documents with Pro
05
Payment

Confirm the money, then record it.

A payment link can help the customer pay, but your provider handles the transaction. Check the money arrived before recording payment or creating a receipt.

  • Payment-provider links
  • Receipts from saved payments
What you can do

The everyday tools stay close to the work.

Use only the parts that fit your business. The same app can handle a quick appointment, a longer project, an order or work at a customer site.

Organise

Projects, jobs, bookings, orders and deliveries

Choose the type of work, customer and location. Add dates, status and the details you need to return to later. Set a schedule and use the correct address without rebuilding either one in the invoice.

Show the work

Photos and job reports

Group photos as Before, During or After, add captions and choose what appears in the report. Saved date, time, coordinates and site address can appear when available. Only details already saved can be shown, and you decide whether coordinates appear.

Create

Quotes, invoices and other documents

Prepare quotes, estimates, invoices, receipts, credit notes and your own document types. Reuse catalogue items, check the totals and preview the PDF before issuing. Issued numbers are not reused, which keeps the sequence clear if a document is later voided or deleted.

Costs and payment

Expenses, mileage and payment checks

Save receipts, enter or record trips, compare job costs and export reports. Add a missed journey, record the next trip or review an eligible Smart Mileage suggestion before saving it. Payment links, bank-match suggestions and message reminders still leave the final check with you.

Fifteen trades and services

Choose a setup that already speaks your language.

The business type changes suggested work names, stages, documents, prompts and catalogue items. It does not remove any standard InvoQuill tools.

Good to know

Your data, helpful Apple features and a clear Pro boundary.

Storage and backup

Stored on your device

Core records and drafts work offline. Optional private iCloud sync can update supported records across your Apple devices, but sync is not a backup. Keep a separate verified copy in Files. There is no separate InvoQuill login or InvoQuill server holding your workspace.

Apple Intelligence, Siri and Shortcuts

Help when your device supports it

Apple Intelligence can interpret a question or suggest wording and expense categories. InvoQuill supplies the figures and status. Siri and Shortcuts can open records or prepare drafts, but do not issue, send or record payment. Core tasks still work without Apple Intelligence.

Subscribe when you are ready to issue

Customers, catalogue items, work, expenses, mileage, reports, backups, iCloud sync and document drafts are available without Pro. Pro is needed to issue a new numbered document. Existing issued documents remain available. Apple shows the current regional price and any introductory offer available to your Apple Account.
