What is InvoQuill?

InvoQuill is an iPhone and iPad app for sole traders and small, owner-run businesses. It keeps customers, work, photos, costs, reports, quotes and invoices together, whether you organise the day around projects, field jobs, bookings, orders or deliveries.

Which business types does InvoQuill support?

InvoQuill has 15 optional starting categories for professional services, field work, appointments, orders and deliveries. See the complete trade and service list.

What changes when I choose a business category?

Your choice changes the suggested document types, work stages, labels, prompts and catalogue items. It gives you a useful starting setup without removing any standard InvoQuill feature.

Does InvoQuill replace official forms, tax filing or professional advice?

No. InvoQuill helps you keep records and prepare documents and reports. It does not replace regulated certificates, permits or contracts, submit VAT, MTD or CIS returns, or provide accounting, tax or legal advice.

What requires InvoQuill Pro?

You need Pro when you are ready to issue a new numbered business document. You can still use customers, catalogue, jobs, mileage, expenses, reports, backups, private iCloud sync and document drafts without it. If your subscription ends, you can continue to view and export documents you already issued.

Does everyone receive a free trial?

No. Apple decides whether an introductory offer is available to each Apple Account. Before you subscribe, the purchase screen shows the current price, billing period and any offer available to you.

Does InvoQuill work offline?

You can use the main workspace and work on drafts without a connection. iCloud sync, purchase checks and services outside the app need internet access. Avoid issuing the next number in the same document series on two offline devices because both could choose the same number before they sync.

Privacy & continuity

Storage, sync and recovery

Where is my workspace stored?

Your working records are stored on your device. If you turn on private iCloud sync, Apple also keeps supported records in the private iCloud database for the Apple Account on that device. You do not need a separate InvoQuill account.

Is private iCloud sync a backup?

No. Sync mirrors changes across supported devices, including deletion, so it is not a fixed recovery point. Create and verify a separate backup in Files. The sync and backup guide explains both.

Does the developer collect my business records?

The current app does not send your workspace to an InvoQuill server and does not include advertising or behavioural analytics. Information leaves the app only when you choose to use an Apple service, Mail, Files, Calendar, a payment link, another app or a recipient.

Photos, reports and mileage

How do job reports handle photos and saved details?

You choose which linked documents, mileage, photo groups and recorded events appear. Dates and coordinates appear only when they were saved with the photo or captured with permission. You also choose the photo quality before creating the PDF. See the job report guide for the complete steps.

How does Smart Mileage work?

Smart Mileage is optional. With the required permissions, it can prepare a journey after you check in to eligible work, leave the site area and start driving. Every suggested trip remains yours to check, edit, save or discard. See Support if a journey is missing or inaccurate.

Payments & automation

Suggestions, reminders and your confirmation

Does a payment link mark an invoice paid?

No. The payment provider handles the transaction. Check your bank or provider, then record the payment only after you know the money arrived.

What can bank matching, recurring documents and scheduled messages do automatically?

Bank matching suggests possible invoice matches but changes nothing until you approve one. Scheduled email creates a local reminder and never sends unattended. Recurring rules are checked when you open the app. They can prepare a draft or create an issued record only when you deliberately enabled that option and your subscription allows it.

Apple Intelligence, Siri and Shortcuts

What can Apple Intelligence, Siri and Shortcuts do?

On supported devices, Apple Intelligence can help interpret a request and suggest wording or categories. Its features require a compatible device running iOS or iPadOS 26 or later, with Apple Intelligence enabled and its on-device model ready. Siri and Shortcuts can help you review information, prepare a draft or open the right record. Core InvoQuill tasks still work without Apple Intelligence, and final actions such as issuing, sending, recording payment or completing work still require your confirmation in the app.
